How to Verify a Business in Ghana Before Sending Money

Before sending money to a business in Ghana, do not rely only on a certificate sent over WhatsApp or a convincing social-media account. The useful question is not merely “is this business registered?” but “do the facts I have been given match a real, active business that is relevant to the transaction I am considering?”

1. Confirm the legal identity

Start with the legal name, entity type and available registration information. Ghana’s Office of the Registrar of Companies says its entity-information search can provide information about structure and status, addresses, officers, beneficial ownership and other compliance information depending on the record.

2. Confirm that the person you are dealing with is connected to the entity

A real company name does not prove that the person contacting you is authorized to act for it. Compare names, roles, email domains, phone numbers, invoices and bank details. A mismatch is not automatically fraud, but it should be explained before payment.

3. Check the operating presence

Depending on the transaction, ask where the business actually operates. A registered address can differ from an operating location. For a supplier, contractor or local service provider, an independent visit or local check can help confirm that the office, workshop, store or site actually exists.

4. Verify the transaction, not just the company

Company verification is incomplete if the transaction itself is not checked. If you are paying for materials, confirm specifications, quantities and terms. If you are hiring a contractor, review the scope, milestones, responsibilities and relevant references. Where a permit or licence is required for the activity, confirm it with the appropriate authority.

5. Slow down when pressure increases

Immediate-payment pressure, sudden changes in bank details, exclusive use of personal accounts, inconsistent documents or refusal to provide verifiable information are reasons to pause. A warning sign does not prove fraud by itself; it means more verification is justified.

6. Use a layered verification method

  1. Official entity search.
  2. Identity and contact verification.
  3. Operating-presence confirmation.
  4. Transaction-specific document checks.
  5. References or track record where relevant.
  6. Independent site visit where the financial or operational stakes justify it.

Questions to answer before payment

Before approving a transfer, write down the facts that would make you comfortable proceeding. Do you know the exact legal entity receiving the money? Does the bank account name make sense for that entity or transaction? Do the invoice, quotation and scope agree with one another? Can you explain what you are buying, when it should be delivered and what evidence will show that the obligation has been met?

Keep copies of the quotation, invoice, verification results, payment instructions and material communications. Good documentation will not prevent every dispute, but it gives you a clearer record of what was represented and agreed.

What verification cannot guarantee

No reasonable verification process can guarantee that a business will perform a contract perfectly or that an investment will succeed. Verification reduces uncertainty by establishing facts and surfacing material inconsistencies before you make your own decision.
